Standard Charging Procedures for Veterinary Services

To describe procedures regarding charging for veterinary services.

  • Glossary Definitions

    Per Diem

    The expenses used to maintain one animal/cage for one day.

    Overtime

    Time spent providing services outside regular veterinary technician working hours (M-F 6 a.m.-5 p.m.), on weekends, and on holidays. Overtime charges will be calculated by business office personnel at a rate of 1.5 times the total time recorded during after hours/weekends/holidays.

  • Procedures

    1. Initiating Charges

    1. The first visit to and physical examination of a potentially ill animal is included in the per diem, as well as any supplies used at the first visit.
    2. If the animal requires more than one successive visit, then charges will be accrued as outlined below.
      1. Time to provide services, including travel and preparation time, will be billed in 15 minute increments.
        1. Time to provide services may include overtime, as applicable.
        2. ULAM veterinary residents do not charge for their time, as it is included in the per diem.
      2. Cost for treatments, medications, and supplies (including euthanasia) are charged to the laboratory.
      3. The ULAM Veterinary Technician Manager or a ULAM faculty veterinarian may approve of charges otherwise.
      4. Diagnostic services are included in the per diem and do not need to be charged back to the lab.
    3. Charges can be cumulative over a monthly period.

    2. Completing Veterinary Technician Time Charges

    1. Veterinary Technician Time Charges monthly charge sheets are available in each veterinary technician’s office area and in this document (see Appendix A).
    2. Complete each charge sheet in full, with all sections filled out.
    3. Turn in completed Veterinary Technician Time Charges sheets to the Veterinary Technician Manager monthly.
    4. The Veterinary Technician Manager submits Veterinary Technician Time Charges sheets to the ULAM Business Office monthly.

    3. Completing Animal Treatment Charge Report for Veterinary Services

    1. Animal Treatment Charge Report for Veterinary Services charge sheets is available in the document (see Appendix B).
    2. Complete each charge sheet in full, with all sections filled out.
    3. Completed Animal Treatment Charge Report sheets are turned in to the Veterinary Technician Manager monthly by veterinary technicians or directly to ULAM Business Office Personnel by veterinary residents.

    4. Completing Rodent Anesthetic Machine Rental Form

    1. Rodent Anesthetic Machine Rental Form charge sheets are available in each veterinary technician’s office area and in this document (see Appendix C).
    2. Complete each charge sheet in full, with all sections filled out.
    3. Turn in completed Rodent Anesthetic Machine Rental Form sheets to the Veterinary Technician Manager on a weekly basis.
    4. The Veterinary Technician Manager turns in Rodent Anesthetic Machine Rental Form sheets to ULAM business office personnel each week.
